My partner is a licensed NJ realtor. I’m the builder. We’re also both homeowners—so between the two of us, we’ve lived this process from every angle. And after watching him juggle six different apps to manage one client, I started asking, "Why does this have to be so hard?"
I’m not talking about the hard parts that are supposed to be hard: negotiating offers, reading the market, and knowing when to walk away from a deal. That’s the job. That’s what great agents are for.
I’m talking about the infrastructure around it. The communication. The paperwork. The way clients experience the process.
That part is a mess. And it doesn’t have to be.
What I Watched
When my partner takes on a new buyer client, here’s what the setup actually looks like:
Communication: His work cell number. SMS, mostly. Sometimes email. Sometimes both, which means nothing is ever in one place, and he’s always the one holding the thread together.
Listings: He sends Zillow links. Which means his clients are on Zillow — a platform covered in competitor ads and designed to convert his clients into someone else’s leads.
Process updates: A phone call when he remembers or when the client texts asking what’s happening next. There’s no system. It’s all him.
Offer preparation: When they find the right house, he sits down for two hours of manual form-filling—cross-referencing NJ NJAR forms, entering the same information in six different places, hoping nothing gets missed. On a deadline.
Documents: A DocuSign link sent at 10pm. A PDF attached to an email thread that’s 40 messages deep.
None of these tools talk to each other. None of them are branded. None of them were designed around the way real estate actually works.
And the client? They’re just along for the ride—hoping their agent has it all under control, because they have no visibility into any of it.
What Clients Are Actually Going Through
The buyers I’ve talked to—especially first-timers—aren't anxious because the NJ market is competitive (though it is). They’re anxious because they don’t know where they stand.
They don’t know what “attorney review” means or how long it takes. They don’t know if their agent saw their message. They don’t know if the house they saved last night is still available this morning. They’re making the largest financial decision of their lives through a text thread.
Information is the antidote to anxiety. And right now, most agents — even great ones — aren’t set up to deliver it in a structured, consistent way. Not because they don’t care. Because the tools don’t exist.
