Emails — Types of Emails

What is Email ?

Electronic mail, commonly shortened to “email,” is a communication method that uses electronic devices to deliver messages across computer networks. “Email” refers to both the delivery system and individual messages that are sent and received.

How does Email Work ?

Step 1: (Send) When you hit send, your email client uses SMTP (Simple Mail Transfer Protocol)to push the message to your outgoing mail server.

Step 2: (Relay) Your server uses DNS (Domain Name System) to find the recipient’s server and then transfers the email to it, also via SMTP.

Step 3: (Receive) The recipient’s mail server accepts the email, performs security checks, and places it in the user’s server-side mailbox.

Step 4: (Read): The recipient’s client uses IMAP or POP3 to fetch the new email from their server, making it available to read on their device.

Types of Email :

Personal Emails :

These are the emails we send between our family, friends, relatives. Casual tone is used in these mails and are not bound by strict formatting rules. The content typically revolves around personal updates, making plannings, inviting for an event, sharing news, catching up

Professional Emails :

Professional Emails are used for businesses and work related correspondence with colleagues. They require a formal tone, concise language and a clear structure with a proper salutation and signature. The focus is on maintaining clarity, respect, and efficiency in communication

Transactional Emails :

These are automated emails triggered by a user’s specific action, such as an online purchase, a password reset, or a shipping notification. They are functional and serve to confirm a transaction or provide essentials, timely information. . Because they are expected, they have very high open rates. These are usually automated via services like SendGrid, Mailgun, etc.

Marketing Emails :

Marketing emails are sent to a list of subscribers to promote a product, service or brand event. Their primary goal is to convert leads into customers or drive sales through persuasive content and a strong call-to-action (CTA). These are a core component of a company’s promotional strategy. These are mainly promotional offers, sales announcements etc:

Internal Emails :

Internal emails are used for communication exclusively within an organization among its employees, teams, and management. They convey information about company announcements, policy updates, project progress, and meeting schedules.The tone can range from formal company-wide messages to informal team chats.

Cold Emails :

A cold email is an outreach message sent to a potential client or contact with whom you have no prior relationship. To be effective, it must be highly personalized, immediately state its value to the recipient, and aim to start a conversation rather than close a deal. It is a common tool in sales, recruitment, and networking.

Newsletter Emails :

Newsletters are recurring emails sent on a regular schedule (e.g., weekly or monthly) to a subscriber list. They aim to build a long-term relationship with an audience by providing valuable content like articles, tips, and updates. The focus is on nurturing leads and building brand authority over direct selling.
