Case Study (Idea Stage): Designing an AI Agent for Hospitality That Converts While You Sleep

Case Study (Idea Stage): Designing an AI Agent for Hospitality That Converts While You Sleep
✍️ The Product Manager’s Dilemma
As a product manager, I’ve built — and parked — many ideas over the years.
Some didn’t scale, others solved real pain but couldn’t sustain a business case.
So I’ve started documenting them — not as launch announcements, but as idea-stage case studies.
This one started at a family dinner. With a question: “Why do you still have to respond to guest messages at midnight?”
🧩 What Sparked the Idea
Several of my relatives run small hospitality businesses like a guesthouses. After a few conversations, I started noticing a pattern of repeated friction:
- Late-night guest messages with no one to respond
- The same questions asked 20 times a week
- Manual upsells that rarely convert
- Payment confusion over screenshots and bank transfers
- Owners waiting days to reconcile revenue
None of this sounded like a “tool” problem. It felt like an ops design issue.
The systems were built for humans. But the guest experience demanded 24/7 responsiveness.
🤖 The Hypothesis: An AI Agent That Lightens, Not Replaces
What if we designed an AI agent not to replace staff, but to make the team feel 10x lighter?
Not a chatbot. Not a fake concierge. Just a quiet, reliable AI assistant built for the operational gaps.
It could:
- Answer routine guest questions instantly
- Respond to late-night messages with helpful, contextual replies
- Nudge toward relevant upsells (breakfast, airport pickup, tours)
- Automate payment collection using DOKU Sub Account
- Send real-time revenue updates to owners
This wouldn’t eliminate staff — it would let them focus on what only humans can do: hospitality.
🛠️ Sketching the Stack
At idea level, here’s how the system could work:
- WhatsApp API: The primary channel most guests already use
- DOKU Sub Account: To manage and split payments between owner, staff, vendor
- Google Sheets or Notion: Live log of transactions, messages, and requests
- CRM-lite Layer: Store guest history, preferences, past stays
No new dashboards. No need for heavy software. Just automation sitting quietly behind existing workflows.
💡 What Makes This Interesting
This is still early-stage thinking, but a few signals feel strong:
- The need is real — especially in family-run or independent properties
- The work is repetitive — perfect for automation
- The upside is immediate — faster replies, smoother payments, less admin stress
- The tech already exists — the challenge is stitching it together
- AI shouldn’t pretend to be human — it should relieve humans
This isn’t about chasing novelty. It’s about reliability at scale — invisible infrastructure that runs even when the team’s offline.
🧭 Where I’m Going Next
I’m exploring use cases, edge cases, and potential no-code + AI integrations. Still in idea mode — not deployed, not validated.
But I wanted to share this early because:
- Someone may have tried something similar
- Others may want to build on it
- Feedback might steer it toward (or away from) product-market fit
If you’re a PM or AI builder interested in hospitality, operations, or agentic UX — I’d love to hear your take.
📬 Feel free to DM me on **LinkedIn or [Instagram** ](https://www.instagram.com/riaaflow/)I am open to:
- Feedback or critique on the concept
- Ideas you’ve seen work (or fail) in similar spaces
- Collab opportunities if you’re building for the hospitality stack
- Early conversations if you’re a property owner curious about testing this
💡Also — if you’re building products that handle money flows across vendors, owners, or teams, check out DOKU Sub Account
It’s a flexible, developer-friendly way to route payments automatically, track settlements and earnings per business owner with real-time visibility and reporting — and a key part of how this AI agent concept could work without ops friction.
