Constraints, AI, and small decisions that shape product design

Over the past few weeks, my classmates and I had the chance to visit a few design teams around Budapest. Some were small studios, others worked on enterprise products or internal tools. We asked them about their work, their process, and how they think about the tools that are reshaping the industry.

When the conversation turned to AI, one answer stayed with me. A designer said, “you should just make sure it makes sense.” What they meant was simple: don’t hand everything over to the machine, use it where it actually helps, and keep control over the rest.

It’s good advice. At the same time, it raises a bigger question. What exactly are we trying to protect, and are we actually doing that?

Products that make you feel something

There’s a specific kind of satisfaction that comes from using something that just feels right. Most designers can probably remember a product that gave them that feeling early on. It’s a bit harder to think of recent examples, and that’s worth noticing.

As designers, our job is to solve problems. Products need to work and genuinely help people. No amount of personality can fix something that fails at its core task. When something works well and also feels thoughtful, that’s when it stands out.

In practice, this often comes down to small things. Clear feedback at the right moment. Language that doesn’t sound like it was written for a legal document. Flows that don’t force the user to stop and figure things out.

These details are easy to overlook, especially under pressure. Still, they are often the difference between something that is simply usable and something that feels well designed.

Why products follow the same path

A big part of the current situation comes from how products are built today.

Decisions are strongly tied to metrics, testing, and short term results. This is understandable. Teams need to justify their work, and stakeholders expect predictable outcomes. Over time, this creates a strong preference for safe solutions.

In many companies, especially in enterprise or industrial environments, avoiding risk is a priority. Systems are built on top of existing logic, multiple stakeholders are involved, and there is little tolerance for mistakes. In this context, design often becomes more about refining and delivering than questioning fundamental decisions.

This is not because designers lack ideas. It is because the environment rewards consistency and reliability over exploration. Challenging a direction takes time, alignment, and sometimes conflict, which is not always possible under tight deadlines.

The result is not bad design. It is stable, usable, and efficient. At the same time, many products start to feel interchangeable because they follow the same safe paths.

Small decisions add up

In many workplaces, people spend hours using internal tools, dashboards, or control systems. These are not meant to be exciting, but small design decisions still have a noticeable impact over time.

In production or logistics environments, operators often rely on systems where one unclear message can slow down an entire process. A generic error like “something went wrong” is not just frustrating, it can create real delays. A more precise message, even if simple, can make the situation much easier to handle.

The same applies to office tools. Many teams still work with complex Excel sheets, legacy interfaces, or systems where the logic is not immediately clear. When labels are improved or flows become easier to follow, people notice it quickly because it directly affects their daily work.

Even in customer facing services like banking or utilities, clarity builds trust. Communication does not need to be playful, but it should feel considered.

The goal is not to add personality everywhere, but to recognize that even in serious systems, small choices can meaningfully improve the experience. Over time, these minor improvements shape how people feel about the system, even if they are hard to measure.

Don’t accept everything

AI tools are quickly becoming part of everyday design work. They help generate ideas, explore variations, and speed up execution.

At the same time, they tend to follow patterns and reinforce what is already there. This makes it easier to accept familiar solutions instead of questioning them. When outputs look polished and complete, there is less friction that forces you to think things through. It becomes easier to settle for the first reasonable option.

That is why the earlier advice matters. Use the tools where they help, but stay involved in the decisions. Adjust, question, and sometimes step away to think more carefully.

Stay open, without feeling the need to chase every new release. Not everything needs to become part of your process.

In many cases, the quality of the work comes from what you decide not to accept.

Make room to explore

Most design processes today are built around efficiency. There are deadlines, regular reviews, and clear expectations. This helps teams deliver reliably, but it also limits exploration.

In practice, there is rarely time to try multiple directions just to see what happens. The first solution that works is usually the one that moves forward.

This does not mean teams do not care about quality. It means the process is optimized for predictable delivery, rather than exploring new value. Over time, this shapes the kind of decisions that get made. Safer ideas move forward more easily, while less obvious directions are often left unexplored.

Some teams create small pockets of space for exploration by testing a few directions early or not settling on the first solution too quickly. Even small shifts like this can help avoid always choosing the most obvious solution.

Keep some of the mess

Within these constraints, what can we actually influence? If we optimize only for usability and consistency, we will get products that work well. In many cases, that is exactly what is needed.

Creating something more memorable requires a bit more intention.

Early in our careers, we might not always have control over major decisions. Still, we can influence smaller ones. How something is explained. How feedback is given. Whether a flow feels clear or confusing.

It also helps to ask a simple question during the process: what is the one thing I can add here that is specific to this problem, this context, or this user?

Not every project needs strong personality. Not every situation calls for it. Still, when there is an opportunity to make something clearer, more human, or simply more thoughtful, it is worth noticing and, if possible, arguing for it.

So going back to the original question, what are we trying to protect?

I believe it’s the instinct to go beyond the minimum, and to keep some of the messy parts in the work, even as everything else tries to optimize it away.
