Game On: Designing an Integrated User Management System for a Leading Gaming Operator
By centralizing User Management, Auditing, and Floor Control into one seamless platform

About the Client:
Established in 2014 as a subsidiary of a financial tech group, the client rapidly expanded its gaming operations across Australia, acquiring over 1,000 venues. With licenses in multiple states, the client faced challenges in managing complex, role-based responsibilities due to their offline system.
MyRole: As a UI/UX Designer, I gathered field insights and client requirements, crafted a seamless user journey, and coordinated closely with the Managment, development and QA teams to ensure smooth implementation. Project Duration: 6 Months Tools: Adobe XD | Sketch | Zeplin Team: 6 Members
Problem:
The growing complexity of the client’s operations made it difficult for the SuperAdmin to manage roles like User Management, Auditing, and Floor Management using the offline system.
They needed a centralized online platform to handle User Management, Central Configuration, Gaming Host, Cashier Applications, and more.
Requirement:
The primary requirement was to create a User Management System that allowed the SuperAdmin to:
- Create and manage roles.
- Delete users and update details.
- Assign role-based access control, ensuring security and operational efficiency.
Research and Brainstorming:
Recognizing the need to understand real-world challenges, several team members visited the client’s venues to observe floor operations. These visits revealed significant inefficiencies, helping us identify pain points in the existing system.
Armed with these insights, we brainstormed solutions focused on simplifying the role management workflow. We created multiple low-fidelity wireframes, each iteration driven by client feedback and internal reviews.

Design and Final Visual Mockup:
After numerous feedback sessions, we transitioned to high-fidelity visual mockups that combined intuitive navigation with scalable features. The aim was to ensure each user role had seamless access to necessary tools without overwhelming the interface.
Due to company policy, we are unable to disclose the entire process. However, the following screenshots provide a glimpse into the concept and offer valuable insights.

To maintain visual consistency across the platform, we developed a comprehensive design library. This library standardized UI elements, reusable components, typography, and color schemes aligned with the client’s branding. The design library also enabled fast iterations, collaboration efficiency, and future scalability.

Interactive Prototype:
To further refine the experience, we created an interactive prototype simulating core workflows. This helped validate design choices, gather real-time feedback, and allowed stakeholders to experience the platform’s functionality firsthand.

Lessons Learned:
- Field Research is Key: Observing the challenges on-site gave us a more profound understanding of the system’s shortcomings, helping us create a design solution that was both practical and aligned with the client’s needs.
- Iteration is Essential: The design process required several iterations, each bringing us closer to a system that was easy to use yet capable of managing a vast array of tasks and roles.
User Benefits:
- Efficiency: The SuperAdmin can now manage users, roles, and permissions in one place, eliminating the need for multiple tools.
- Enhanced Security: Role-based access ensures that only authorized users can perform certain actions, strengthening security and minimizing human error.
- Streamlined Operations: The new system centralizes floor management, cashier functions, and configuration settings, making it easier to monitor and control operations across multiple venues.
Final Thoughts:
The new system transformed how the client managed their venues, bringing their operations online and allowing for real-time control and configuration.
By focusing on the end-users and their day-to-day tasks, we were able to design a platform that not only met but exceeded expectations, providing long-term value through increased efficiency and security.
