What a Work Breakdown Structure Actually Looks Like

Work Breakdown Structures can sound complicated when explained only through definitions.

So instead of explaining the theory, here’s a simple example.

Imagine you’re managing a project to launch a new website.

The project could be broken down like this:

1.0 Planning

• Gather requirements
• Define project goals
• Assign team responsibilities

2.0 Design

• Create wireframes
• Develop the user interface
• Review and approve designs

3.0 Development

• Build the frontend
• Develop the backend
• Integrate required features

4.0 Testing

• Test website functionality
• Fix bugs
• Collect user feedback

5.0 Launch

• Final review
• Publish the website
• Monitor initial performance

The important thing is that each level becomes more specific.

You start with the overall project.

Then break it into major phases.

Then break those phases into smaller pieces of work.

A good WBS should eventually reach tasks that someone can clearly understand, own, and complete.

For example:

“Design” is too broad.

“Create homepage wireframe” is much clearer.

The difference might seem small, but it can prevent confusion later.

When work is vague, people have to guess what they’re responsible for.

When work is clearly broken down, ownership becomes easier.

My biggest takeaway is simple:

If you can’t clearly explain what needs to be done, the project probably isn’t broken down enough yet.
