Professional File Submission Is More Than Just Attaching a Document

When submitting work files, documents, or project archives, clarity is essential. A professional submission should enable the recipient to identify three key details quickly:

  1. What is the file?
  2. Which project or client does it belong to?
  3. Is it the latest version?

A recommended international naming convention is: YYYY-MM-DD_ProjectName_DocumentType_Version_Status.ext.

For example: 2026–07–14_OrionProject_DesignProposal_v03_FINAL.pdf

For files that do not require a date, use: ProjectName_DocumentType_Version_Status.ext

Example: OrionProject_BrandGuidelines_v02_APPROVED.pdf

Recommended naming rules:

  • Use clear and consistent English terms.
  • Use the ISO-style date format: YYYY-MM-DD.
  • Separate elements with underscores or hyphens.
  • Use version numbers such as v01, v02, and v03.
  • Avoid vague names such as final-final, new, latest, or document1.
  • Avoid unnecessary spaces and special characters.
  • Keep the original file extension visible.
  • Use consistent capitalisation across the entire archive.

For projects with multiple files:

Organize the delivery package into clearly numbered folders:

  • 01_Project-Management
  • 02_Source-Files
  • 03_Working-Files
  • 04_Review-Files
  • 05_Final-Deliverables
  • 06_References

Compress the complete package and use a clear archive name, such as: 2026–07–14_OrionProject_FinalDelivery_v01.zip

Include a short README.pdf or README.txt containing:

  • Project name.
  • Delivery date.
  • File and folder descriptions.
  • Required software or fonts.
  • Version information.
  • Missing or pending items.
  • Contact details.

A professional delivery message could be: “I am attaching the final project package. The archive includes the approved deliverables, source files, and a README document explaining the folder structure and file versions.

Effective file management is essential. It saves time, prevents version confusion, improves searchability, and demonstrates respect for everyone who will use the files in the future.

For example, Final_v2_New_FINAL_UseThisOne.pdf is not an appropriate file name.

It creates confusion and should be avoided.
