As a manager, witnessing a team member you’ve carefully nurtured decide to leave your company can be a tough pill to swallow. You’ve invested considerable time and effort in grooming them for their role. However, it’s inevitable that at some point, someone in your team will choose to move on. The question then becomes: How can you part ways in a manner that ensures a successful offboarding?

While we often emphasize the importance of a successful onboarding process, discussions around what constitutes a successful off-boarding experience are far less common. So, what makes an employee’s off-boarding experience truly successful?

The Sequence of Events

Receiving the Resignation Letter

Picture a typical workday, seemingly uneventful. Suddenly, an email or a meeting invitation from one of your team members appears in your inbox — it’s a resignation letter. One of your valued team members has decided to embark on a new journey outside the company. Panic might set in; perhaps you saw the signs, but you weren’t quite sure when this moment would arrive.

Initiating a One-on-One Conversation

Upon receiving the resignation letter, it’s crucial to engage in a one-on-one conversation with your team member to understand their motivations.

What prompted this decision? Why do they wish to leave? It could be an enticing offer elsewhere, personal or family reasons, or perhaps a lack of challenge in their current role. Identifying the trigger enables you to explore potential solutions to prevent their departure.

Do they have concrete plans after they leave? If not, this is an opportunity to discuss possible paths that could benefit both parties.

What might persuade them to reconsider? Are there options, like a counteroffer or a new role in a different department or project, that could entice them to stay?

If the resignation is indeed inevitable, it’s time to consider the next steps.

Accepting the Resignation and Initiating Offboarding

With the decision final, officially acknowledge the resignation and agree on a last working day if a notice period applies. Initiate the offboarding process, involving both the departing team member and the team itself. If the role requires it, plan for knowledge transfer within the team and commence the process of finding a replacement.

Complete all necessary paperwork, including termination documents and the return of company property. Comply with all legal requirements related to termination and severance. Provide clarity on benefits, leaves, and final compensation to prevent future discrepancies and disputes.
