Efficiency at Scale: Aligning IT Operations with Academic Goals at USW

Beyond the Pitch: Scaling IT Service Excellence Across 5 University Campuses

By Vitor Matos | IT Operations Manager, University of South Wales

Returning from the UCISA SSG25 conference, I found myself reflecting on a common theme: in the world of Higher Education, technology is only successful when it is invisible.

As the IT Operations Manager for the University of South Wales (USW), my “arena” isn’t a football pitch — it is the digital frontline of five distinct campuses. My goal is to ensure that when a Head of Faculty or a student walks into a learning space, the technology supports their mission without friction.

The Complexity of Multi-Campus Operations

Managing IT for a major institution like USW requires more than just technical knowledge; it requires strategic coordination. Overseeing frontline services across five campuses means balancing localized needs with universal standards.

At #SSG25, I had the privilege of sharing my experiences and learning from peers across the sector. We discussed the shift toward user-centered services and the importance of operational resilience. For me, the takeaway was clear: we must continue to move from “reactive support” to “proactive partnership” with our academic departments.

Strategic Procurement and Vendor Partnerships

A key part of my role involves IT Procurement and Vendor Management. In a high-volume environment, how we buy is just as important as what we buy. By focusing on data-driven, persona-based provisioning, we aren’t just managing hardware; we are managing the student experience.

The discussions at UCISA highlighted that our vendors are more than suppliers — they are strategic partners in maintaining service maturity. Bringing these insights back to USW, I am eager to trial new workflows that further bridge the gap between technical infrastructure and academic delivery.

Looking Ahead

The two days spent with the UCISA community were an investment in the future of USW’s digital strategy. I’m already looking at how to implement several new ideas regarding service improvement initiatives and stakeholder engagement.

If you are a leader in Higher Education IT, I cannot recommend this event enough for next year. A huge thank you to the UCISA events team for facilitating such a high-value exchange of ideas.
