How to Choose RFID Labels for Inventory, Asset Tracking, and Industrial Applications
Choosing the right RFID label depends on frequency, chip, antenna design, material, adhesive, item surface, read range, environment, and encoding requirements. A label that works well on a cardboard carton may perform poorly on metal equipment, liquid containers, textiles, or outdoor assets.
This practical guide explains the main decisions buyers should make before requesting RFID samples or a production quotation.
- Choose the right frequency
NFC and HF RFID are commonly used for short-range interaction, authentication, access control, smart packaging, membership cards, and mobile-phone reading. UHF RFID is normally preferred when a project requires longer read range, bulk scanning, inventory management, warehouse tracking, apparel retail, pallet identification, or asset tracking.
- Match the RFID tag to the item surface
Paper and cardboard usually work with standard RFID labels. Plastics require the correct adhesive and antenna design for the surface energy and curvature. Metal requires an anti-metal RFID tag or on-metal label. Liquid-filled packaging can reduce RF performance, so antenna position must be tested. Textile and laundry applications require washable RFID tags designed for heat, pressure, chemicals, and repeated washing.

UHF projects commonly use EPC Class 1 Gen 2 or ISO 18000–6C compatible chips. Chip selection affects memory, serialization, privacy functions, availability, and price. NFC chip selection depends on memory size, smartphone compatibility, security requirements, and the intended user interaction.
- Select face material, adhesive, and durability
Paper is economical for indoor cartons and retail. PET and other synthetic materials provide better moisture and abrasion resistance. Foam or ferrite structures are used for metal surfaces. Rugged plastic or ceramic tags suit harsh industrial environments. Adhesive choice should consider temperature, surface texture, expected service life, and whether the tag must be permanent or removable.
- Prepare printing and encoding specifications
Before production, confirm the EPC format, serial-number rules, barcode or QR code, human-readable text, logo printing, roll direction, label gap, core size, printer compatibility, and data-file format. Clear specifications reduce encoding errors and production delays.
- Test samples before mass production
Sample testing should use the actual items, reader antennas, software workflow, packaging layout, and operating environment. Check read rate, distance, orientation sensitivity, encoding accuracy, adhesive performance, washing or chemical resistance, and durability.
Buyer checklist
What surface will the label be attached to? What read distance is required? Will tags be scanned individually or in bulk? Is NFC phone reading needed? Are variable printing and EPC encoding required? Will the tag face metal, liquids, heat, washing, chemicals, moisture, outdoor exposure, or abrasion?
