Automate, optimize and rethink processes without losing the human touch

Artificial intelligence dominates headlines, but in a time of tight budgets and quick results, what does it actually do for small businesses?
From cutting busywork to improving customer experiences, AI can deliver real value when used intentionally. That means small businesses can adopt AI in practical ways without overcomplicating workflows — or overspending.
“Maybe you’ve dabbled a bit with artificial intelligence but haven’t taken full advantage of it,” said Carol Stephen. “The news about AI is everywhere and can’t be avoided.”
A social media manager and author, she encounters and uses AI more than ever. So too does Larry Mount, a digital privacy expert. They looked at how AI affects small businesses, including the problems entrepreneurs are trying to solve.
“Small businesses can use AI to compensate for missing resources,” Mount said. “Whether it’s available time, a marketing budget or how to provide 24/7 customer support, AI can be a force multiplier. Options include response times for customer inquiries and cash flow forecasting.”
Start with the pain point, not the tool. AI works best when it targets bottlenecks such as time drain, inconsistency, missed insights or slow customer response — not just “because it’s trending.”
“One problem that AI could help solve would be predicting future trends,” Stephen said. “All businesses need to know what markets will do.”
Mount noted common examples in most businesses:
- Data entry: Extracting information from receipts into accounting software.
- Appointments: Scheduling with tools such as Reclaim.ai.
- Meeting notes: Transcribing and summarizing calls through Otter.ai.
- Social media: Reformatting one post for multiple platforms.
Manage Time-Eaters
Artificial intelligence works best when tasks are repetitive, manual or error-prone. That includes first-draft content, email tagging and note summarization. If a task follows clear rules and eats time, it’s a strong AI candidate.
“For my business, I’d like AI to deal with the mundane, everyday task of charting expenses,” Stephen said. “I’d still need to oversee the outcomes.”
Looking outward, artificial intelligence could help serve customers better and faster.
“AI can power a small business like a global enterprise,” Mount said, including these around-the-clock benefits:
- Availability with AI agents like Tidio or Gladly.
- Analysis of past purchases to suggest products a customer wants or needs.
- Scheduled messaging.
- Drafting emails to reduce response time.
AI can personalize messaging — helping customers get answers sooner while humans handle nuance and relationship-building.
“AI could help resolve the top questions customers have,” Stephen said. “Frequently asked questions might have several answers, and getting those answered could save both customers and employees’ time.”
When AI uses data already in hand, it’s up to humans to ensure the information is handled ethically.
“Small businesses may have a lot of customer data to inform strategic planning such as customer purchase history and email engagement rates,” Mount said. “There’s also website traffic patterns and support tickets.”
Customer emails, FAQs, sales data and support logs can be useful — if collected with consent, stored securely and used transparently. Ethics should come before efficiency.
“Lizzie Short of Harvard writes about five key principles of ethical AI,” Stephen said. “These include fairness, transparency, accountability, privacy and security.”
Gain From Good Decisions
Beyond simply automating tasks, AI can help small-business owners make better decisions.
“Aside from ‘doing,’ AI is great at thinking,” Mount said, giving these examples:
- Trend Prediction: “Based on …, stock will expire in 10 days.”
- Sentiment Analysis: Reading 500 reviews: “People love the product but hate the packaging.”
- Scenario Planning: A 10 percent price increase might affect total revenue.
Beyond automation, AI can spot patterns humans miss — like trends in customer behavior or performance gaps — turning raw data into decision support, not decisions.
“‘Agentic AI’ can handle processes,” Stephen said. “For example, reading and summarizing an email, creating a response, updating a database and booking a meeting. I’d have to do the important task of taking a nap.”
Small businesses still have the choice of selecting artificial intelligence tools that fit within their budgets or going totally free.
Mount said there is a tool for every wallet:
- ChatGPT-4 for general assistance.
- Canva Magic Studio for design.
- Buffer for social media.
- Grammarly for editing.
- Jasper for marketing copy.
- Notion AI for project management.
- Tidio for customer service.
Many small businesses start with free or low-cost tools built into platforms they already use. The best tool is the one they actually adopt and maintain.
“Subscriptions to AI tools can be worthwhile if you’re a daily power user,” Stephen said. “But if you only use AI for basic writing or simple queries, free versions might be enough.”
Mitigate Risks
Using AI carries risks, which Mount outlined.
- Hallucinations: AI making up facts. Solution: Always have a “human-in-the-loop” to verify output before it goes public.
- Bias: AI inheriting prejudices from its training data. Solution: Use diverse prompts and audit AI-generated decisions, like hiring.
Other risks include errors, data leaks and over-reliance. Mitigate them with human review, clear use policies, limited data sharing and regular check-ins.
Artificial intelligence can readily integrate with the tools already used in small businesses.
Look for AI that plugs into existing workflows — email, CRM, accounting or content tools — so it reduces friction instead of creating yet another system.
Mount gave several integration examples:
- Slack or Teams: AI assistants live inside your chat apps to summarize threads.
- Zapier: Use this as the “glue” to connect AI such as OpenAI to over 6,000 other apps like Gmail, Mailchimp or Shopify.
- Browsers: Tools like Gemini or Perplexity live in your sidebar.
Comfort Through Training
He focused on three key areas for training so teams can comfortably use artificial intelligence:
- Prompt Engineering: Learning how to give clear, contextual instructions.
- AI Literacy: Understanding what AI can’t do such as feel empathy or understand unspoken company culture.
- Security Training: Teaching the team which data is safe to share with an AI and which isn’t.
Training doesn’t mean coding. Teams need clarity on prompts, limitations, ethics and when not to use AI. Confidence matters more than complexity.
“There are loads of YouTube videos to help you learn AI,” Stephen said. “For instance, Tina Huang has a whole series from beginner to advanced AI.”
The best ways to measure whether artificial intelligence is delivering value include tracking error reduction, faster turnaround and improved customer satisfaction. If it doesn’t move a real business metric, it’s not adding value.
“Don’t just use AI because it’s cool,” Mount said. He pins his expectations on these factors:
- Time saved: Spend five hours per week on social media, not 20.
- Customer Satisfaction: Do faster response times convert to higher ratings?
- Return on Investment: Does outlay justify the revenue stream?
AI isn’t about replacing small-business owners — it’s about reducing friction. Used thoughtfully, it can save time, sharpen decisions and improve customer experiences. Start small, stay ethical and measure what actually matters.
